This Privacy Policy explains how PractiPix (“PractiPix”, “we”, “us”, or “our”) collects, uses, shares, and protects personal data when you visit this website, create an account, participate in the forum, contact support, subscribe to updates, download software, place an order, or activate a PractiPix license.
01Who we are
PractiPix operates the website at practipix.com and the related customer, licensing, download, support, and community services described in this policy.
If you have a question about this policy or want to exercise a privacy right, contact us at info@practipix.com.
02The information we collect
Depending on how you use the site, we may collect the following categories of personal data:
- Contact and support details. Your name, email address, phone number, message content, optional file uploads, and related support history when you use the contact form or ask for human follow-up in chat.
- Chat data. Questions you send to the PractiPix Assistant, any text you send in the chat widget, and, if you request human help, the handoff details you provide and the recent AI chat context attached to that support conversation.
- Newsletter details. Your email address when you subscribe to PractiPix updates.
- Order, checkout, and download details. Your email address, name, order details, currency choice, transaction status, and download-unlock activity when you request software downloads or place an order.
- Account and community details. Your account details, sign-in related information, forum profile/display name, topics, replies, saved topics, and any attachments or content you choose to publish in the community area.
- Licensing and activation details. Information needed to issue, validate, manage, or support licenses and trials, such as your name, email, license ID, plan/tier, expiration status, hashed license key, hashed device fingerprint, activation history, and last-seen timestamps.
- Technical and usage data. IP address, browser, device, operating system, page paths, referrer information, search/campaign attribution, country-level location derived from IP, page timings, and on-site interaction data used for analytics, security, and site improvement.
- Security and anti-abuse data. Spam-prevention fields, CAPTCHA responses, blocked or suspicious request information, login/security events, and related logs used to keep the site and services secure.
03How we collect it
We collect personal data directly from you, automatically from your device and browser, and from the tools that support the site. For example, we collect data when you:
- browse the website or use customer-facing features;
- subscribe to the newsletter;
- contact us through forms or chat;
- create or use an account;
- post in the forum or upload related files;
- unlock downloads or place an order; and
- activate or use a PractiPix license.
04Why we use your information
We use personal data to:
- operate, deliver, and improve the PractiPix website, downloads, customer account area, forum, and support services;
- respond to questions, support requests, and human-chat handoff messages;
- provide the PractiPix Assistant and grounded help responses from our published documentation;
- manage newsletter subscriptions and send updates you asked for;
- process orders, send transactional emails, unlock downloads, and help you reopen or continue purchases;
- issue, validate, renew, revoke, or support licenses and trial activations;
- understand site usage, diagnose issues, and improve performance and content;
- detect spam, fraud, scraping, abusive behavior, or attacks, and protect the site, customers, and community;
- moderate forum/community content and enforce our site terms; and
- comply with legal, tax, accounting, and record-keeping obligations.
05Legal bases for processing
Depending on the situation, we process personal data on one or more of these bases:
- Contract. To provide downloads, orders, accounts, licenses, support, or other services you request.
- Consent. For example, when you subscribe to newsletter updates, and where consent is otherwise required.
- Legitimate interests. To run, secure, maintain, analyze, improve, and support the site and PractiPix services, and to prevent abuse.
- Legal obligation. When we need to keep records or respond to lawful requests.
06Chat assistant and AI processing
The PractiPix Assistant is an AI-powered support feature. When you send a question through the chat widget, the question and relevant support-document context may be sent to our AI service provider, OpenAI, so the assistant can generate a response. If you choose the human-support handoff, we may also attach recent AI chat context to help our team continue the conversation efficiently.
Please avoid sending highly sensitive personal data, payment card details, government identifiers, or other confidential information through the AI chat unless it is genuinely necessary for support.
08Orders, payments, downloads, and licensing
If you unlock downloads, place an order, or use licensing features, we process the data needed to deliver software, link orders to your account, communicate about the order, and manage license issuance and activation.
Payments are handled through the payment method or provider shown at checkout or through your bank if you use a bank transfer method. We do not intend to store full payment card numbers on the PractiPix website itself. We may store order status, provider references, transaction status, and related customer records needed to deliver the software and support the purchase.
09Forum and public content
The PractiPix forum is a public community area. If you post topics, replies, profile details, or attachments there, that content may be visible to other visitors, administrators, and search engines. Please do not publish personal or confidential information in the forum unless you are comfortable making it public.
12International transfers
Some of our service providers may process personal data outside your country, including outside the European Economic Area or the United Kingdom. Where required, we rely on appropriate contractual, legal, or technical safeguards for those transfers.
13How long we keep data
We keep personal data for as long as reasonably necessary for the purpose for which it was collected, including to provide services, maintain legitimate business records, resolve disputes, prevent fraud, enforce agreements, and comply with legal obligations. In practice:
- support requests and chat records are kept for as long as needed to handle the request and maintain support history;
- newsletter records are kept until you unsubscribe or the subscription is otherwise removed;
- order, account, licensing, and activation records are kept while relevant to delivery, support, fraud prevention, and legal/accounting duties;
- forum content is kept until you delete it, we remove it, or the related account/content is otherwise retired; and
- analytics and security records are kept for a limited period that is reasonably necessary to operate, secure, and improve the site, after which they may be deleted, aggregated, or anonymized.
14Your rights
Depending on your location, you may have rights to:
- request access to the personal data we hold about you;
- request correction of inaccurate or incomplete data;
- request deletion of your data in appropriate cases;
- object to or request restriction of certain processing;
- request portability of data you provided to us;
- withdraw consent where processing is based on consent; and
- lodge a complaint with your local data protection authority.
To make a request, email info@practipix.com. We may need to verify your identity before completing a request.
15Security
We use reasonable technical and organizational measures to protect personal data. However, no method of transmission or storage is completely secure, so we cannot guarantee absolute security.
16Children's privacy
PractiPix is not intended for young children, and we do not knowingly collect personal data from children in violation of applicable law. If you believe a child has provided personal data to us unlawfully, contact us so we can review and remove it where appropriate.
17Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will publish the updated version on this page and revise the “Last updated” date above.
